6:00 am: Leave for work. Have a 50 mile commute which takes me about 45 minutes if I leave early.
6:45 am: Arrive at the office. Start up my computer and open Outlook. Amazing how many emails come in after I go to bed because I’m checking at home at night too! Get another cup of coffee! Start in on emails until approximately 7:30 am when the rest of the office starts arriving. Our hours are technically 7:30 am to 4:00 pm Monday to Friday.
7:30 am: Provide revised copy of the DQ Expo brochure (this is for my large 2,000+ people meeting), which was proofread one more time over the weekend, to the creative department for another proof.
9:00 am: Meeting with the president regarding our exhibit hall layout and design for the 2014 DQ Expo being held in Honolulu, HI, in January 2014. Meeting goes until approximately 10:15 am with approval provided on the development area, which was the main focus of the meeting.
10:30 am: Conference call with the manager of the group division at our travel agency of record. Discuss procedures for how drivers vs. flyers will be handled in terms of comparison on air costs vs. mileage costs and the backup needed to support this. Come to a workable solution for both parties.
12:30 pm: Receive the good news that the main final night entertainment we’re hiring for our upcoming DQ Expo has accepted our offer. Now it’s time to go to contract and complete the final steps.
12:30 pm: Working on car rental agency contract as our current agreement expires the end of July.
Throughout the Day: Building three online registration sites for three upcoming programs including our large DQ Expo for 2,000+ people, the Summit meeting for 300 people and a smaller program for about 50 people. The Summit program is approved and final. Ready for this one to go live. Still working on the other two, making revisions and reviewing.
3:00 pm: Finalizing the Summit invite, which will be emailed to all attendees on Tuesday the 2nd. This invite will contain all the details on the meeting, as well as the links to online registration and the link to hotel reservations.
3:45 pm: Preparing the necessary detail for our travel agency group department regarding a specific group of attendees who will also be sent their invite for the Summit, but will be booking their airline reservations through our group desk.
4:30 pm: Emailing with our entertainment agency regarding possible opening act for our main final night entertainment. Expecting to hear an offer by Tuesday or Wednesday.
5:00 pm: It’s crazy how fast the day goes by. I’m still going through emails and getting caught up on miscellaneous items from the day. It’s quiet though as most have gone home at 4:00 pm.
6:00 pm: I head out.
